Refund & Cancellation Policy

Everything you need to know about billing, cancelling your MedIQGPT subscription, and what happens to your data.

1. Free Tier

MedIQGPT offers a free tier that provides access to core record storage and retrieval features at no cost. Users on the free tier:

  • Are not charged any fees.
  • Are not eligible for monetary refunds (there is nothing to refund).
  • May cancel (close) their account at any time by following the steps in the How to Cancel section below.

Paid subscriptions are billed on a recurring monthly or annual basis, depending on the plan selected at sign-up. The following rules apply:

  • Billing cycle: Your subscription renews automatically at the start of each billing period unless cancelled before the renewal date.
  • No partial-month refunds: We do not issue pro-rated refunds for unused days within a billing period. If you cancel mid-period, your access continues until the end of the current paid period, after which billing stops.
  • Annual plans: Annual subscriptions are charged upfront for the full year. If you cancel an annual plan within 7 days of the charge date and have not uploaded any documents during that period, you may be eligible for a full refund (see Refunds section).
  • Price changes: We will notify you at least 30 days before any price increase. You may cancel before the change takes effect without penalty.

3. How to Cancel

You can cancel your MedIQGPT subscription at any time without contacting support:

  1. Open the MedIQGPT app or web app
  2. Go to Settings → Data & Privacy
  3. Select Cancel Subscription or Delete Account
  4. Follow the on-screen confirmation steps

Once cancellation is initiated, your account enters a 10-day grace period (see Data Export & Deletion below). You will not be charged again after your current billing period ends.

4. Data Export & Deletion

We believe your medical records belong to you. When you cancel your account, the following process applies:

  1. Export job triggered automatically: Upon cancellation, an export job is immediately queued that compiles all your uploaded documents and extracted metadata into a downloadable archive.
  2. Download link emailed within 24 hours: You will receive an email with a secure download link to your full data export within 24 hours of initiating cancellation.
  3. 10-day download window: The download link remains active for 10 days from the date of issue. Please download your data before this window closes.
  4. Permanent deletion: After you confirm download (or after 10 days, whichever comes first), your account and all associated data - including uploaded documents, extracted text, metadata, audit logs, and family group records - are permanently and irreversibly deleted from all systems.

Note: Deletion is permanent. We cannot recover your data after deletion is complete. Please ensure you have downloaded everything you need before confirming deletion.

5. Refunds

Refunds are considered in the following circumstances:

  • Annual plan - 7-day cooling-off period: If you subscribed to an annual plan, have not uploaded any documents, and cancel within 7 days of the charge date, you may request a full refund by contacting support.
  • Billing error: If you were charged incorrectly or charged after cancellation was confirmed, contact us and we will issue a full refund for the erroneous charge within 5-10 business days.
  • Extended service outage: If the Service is unavailable for more than 48 consecutive hours due to our fault, you may be eligible for a pro-rated credit. Contact support with details.

Refunds are not issued for change-of-mind cancellations after the cooling-off period, partial months, or for service features that are in development or on the roadmap.

6. Disputes & Contact

If you believe you have been billed incorrectly or have a dispute related to a charge, please contact us before initiating a chargeback with your bank or card provider. Most billing issues can be resolved quickly.
